DEADLINES:

Registration for in-person attendance in Aalborg:

The final deadline for registering for in-person attendance is 13 September. When registering for the conference, you are required to choose a dietary preference for lunch/dinner. This choice is binding.

Registration for online attendance:

The final deadline for registering for online attendance is 27 September.

Switch from in-person to online attendance:

13 September is also the deadline for switching between in-person and online conference attendance. If you wish to change your registration, you need to notify us by e-mail to Sesconference@plan.aau.dk no later than on 13 September.

The difference between in-person attendance and online attendance fees will be reimbursed, if you notify us by e-mail by 13 September. Changes made after 13 September will not lead to any reimbursement.

Conference dinner:

Due to COVID-19 regulations, the conference dinner has a maximum of 100 attendees. As we have reached the maximum, the registration for the conference dinner is now closed.

If you wish to attend the conference dinner and have not been able to register, you can sign up on our waiting list by sending a request to Sesconference@plan.aau.dk.

Until 13 September, dinner cancellation will be reimbursed if attendance is changed from in-person to online attendance. After this date, dinner registration is binding and expenses are not reimbursed in case of attendance changes.

Technical tours:

The deadline for tour registration is 13 September; the number of seats is limited and registration is binding.

Recommendations regarding conference attendance:

In-person attendance: If you expect to attend the conference in person, and this becomes possible based on the authorities’ travel advice, please choose this option. If the authorities’ travel advice do not permit entry into Denmark at the time of the conference, you can be reimbursed for the difference between in-person and online attendance.

*Please note that due to the COVID-19 situation there might be physical restrictions on the maximum amount of people allowed to attend the conference in person. If this becomes the case, the people allowed in-person attendance will be based on time of registration and everyone will be informed. The difference between in-person and online attendance will be reimbursed.

Online attendance: If you expect to attend the conference online and from a distance, no matter the authorities’ travel advice, please choose this option.

Please note that the conference is using a general booking system for conference registration. This means that in order to complete your online registration for the conference, you will be met with the booking system’s terms and conditions in Danish aimed at general ticket booking. Our main terms for registering for the conference are the following:

  • Cancellation policy:
    • Cancellations are non-refundable
    • Non-arrivals will be non-refundable for any reason
    • Substitute participants will be accepted at any time – a name will be required
  • Right of withdrawal:
    • You waive your 14-day withdrawal right when you register for this conference

Conference fees

– Early registration (for presenters with accepted abstracts):
300 EUR (attending in Aalborg, fee including materials, coffee, lunches)
200 EUR (virtual attendance)
– Normal fee:
400 EUR (attending in Aalborg, fee including materials, coffee, lunches)
300 EUR (virtual attendance)
– Additional fee for conference dinner: 100 EUR
